PTA Board Meeting Minutes for 09/17/2009

Members Present:
Jill Smith, Deborah Rodriquez, Lisa Hayes, Natalie Lecher, Charlene Farkus, Natalie Williams, Kim Barlow, KaLyn Burmeister, Laura Ploudre, Renee Iverson

We went through the leadership packet and distributed pertinent items to officers.

We discussed the budget in detail and examined how much money we have, how we spend it, and how we want to fundraise. A final budget will be revised and approved at our next meeting.
RI will contact the fundraising committee and JS will get them the info from Sarah Howard. We will send a letter to parents with the first fundraiser that explains what we do, where the money goes, and gives an “opt out.”

Chess is ready to go and we reviewed the contract.

Spanish is ready through Foreign Language for Youth. NW discussed the program and returned to them with questions.

We agreed to raise the scholarship budget from $1000 to $3000 and discussed the best way to use that money so that it reaches the most kids. The Family Advocate will mediate the scholarship process for privacy. Chess and Spanish scholarships available.
We discussed the possibility of tapping our Spanish speaking community at PW for future classes.

LP will let us know if there are any other after school activities (like Floor Hockey) that the PTA could sponsor to reach more kids.

We agreed to donate $1600 to the school for two assemblies to bring in authors, music groups, etc.

NL will send a proposal on classroom mini-grants so that they can be more streamlined. LP says 20 cert. staff, so $2000 will be enough. We’ll base it on FTE.

Brown Bag Update from NW:
Discussed:
Info on swine flu, enrollment lower in district, review of budget and funding, surplus land bank, transportation count week of 9/28.

Jane P will organize newsletter.

Kim B getting started on Reflections for Oct deadline.

PTA Board Meeting Minutes for 08/19/2009

PTA Board Meeting Minutes—August 18, 2009 at PW. Recorded by Jill Smith.

Members present: Charlene Farkus, KaLyn Burmeister, Natalie Williams, Natalie Lecher, Lisa Hayes, Laura Ploudre, Jill Smith, Debra Rodriquez, Kim Barlow

In lieu of a president: KB will be designated as the person to receive emails from the PTA Council.
JS, NL, LH will attend council and Superintendent Brown Bag meetings.
JS will get the calendar of meetings and will post on website.

In lieu of membership chair: CF will help will database entering, JS will get checks/envelopes from the office and get them to the treasurer.

Membership tables: We’ll do membership tables at the BBQ, Tea and Tissues, and the Back to School night on 9/15. JS and KB will help with these. We’ll also have volunteer forms available at these events.

Social Event Chairs: Pending the results from the volunteer forms, we’ll wait and see on chairs for: Harvest Festival, Family Heritage Night, Ice Cream Social and fundraising events.

Fundraising discussion facilitated by NL: We have lots of $$ in the bank and spent about what we raised last year. This may mean we don’t need to raise as much in these tough times. NL will look into whether or not we are required to spend any of these reserves down. One area we could spend on would be school assemblies.

After we’re settled into school, we’ll send a letter to all families suggesting an alternative to fundraising (can do straight donation). One idea was to send this along with the first fundraiser with a brightly colored note so that people can see how to opt-out.

Teacher Grants: NL proposes that we streamline the teacher mini-grant process and use a stipend model common at other schools. We would develop a formula based on FTE and would just write checks to each eligible staff member. We’ll revisit this in Sept. based on more firm staffing numbers.

Back to School Packets: Include earthquake kits form, membership envelopes and the volunteering form.

Several people have volunteered to do the end of year financial audit.

We need to have three new signers on the checking account and have volunteers. The board voted their approval They will be added ASAP.

Next year’s PTA board meetings will fall on the 3rd Tuesday of the month at 7pm starting in August.

We approved a $50 budget for getting treats for the steel drum band’s performance at Central Market.

We had a lengthy discussion about fundraising for next year. There have been several concerns over the amount of fundraisers we do. One proposed idea is to send a letter in September that outlines exactly how much we need to raise, along with redesigned PTA membership envelopes for cash donations. If enough funds are raised, we might not need to do fundraisers. Some people might be opposed to this because not all families can make a cash donation. It will be discussed again in August but a preliminary letter will be drafted.

The SEA is asking for parent support at the school board meeting on 6/22/09. Contract negotiations are under way and the teachers would like to have them wrapped up by August.

The Treasurer and President distributed reimbursement checks.

Meeting adjourned 8:45 pm.

Parkwood locked down Monday afternoon 5/18

EDIT 3:20pm

Lock down over. Come get your kids!

Monday, 5/18, 3:00pm.

Just got back from Parkwood Elementary where I was told that the school is locked down because of a bear sighting in Twin Ponds Park.

The school website has no information right now, but keep checking:

http://schools.shorelineschools.org/parkwood/

There are news helicopters and trucks and several police and fire vehicles at the park, so bear or no bear there is obviously a disruption over there.
