PTA Meeting Notes 6/15/10

  1. General Membership meeting: Marion Mohrlok, CF, NW, JS, KB, JP, LH,NL, DR, and Susan Lovelace. 2.Updates from VPs: Natalie W for treasurer -Year End updates regarding fundrasing, budget, & income. Also, review of budget over past year and budget/income planning for 2010-2011; Chinese teacher, Hua Zhang, presents PW PTA w/ $200 check for budget and showed work done by students; discussed if students will be required a 2nd 3-ring binder and inquire if possible funding for supplies ($500 budget); discussion regarding donations from companies for school supplies; end of year budget est. @ $5,000k; vote on budget tonight for approval for 2010-2011 by board members—budget passed; and note on DR to coordinate w/ JS and Family Advocate regarding school supplies (extra items for students). 3.20100-2011 Officers: Co-Pres - NW & JS; Co-Membership - LH & RI; Enrichment - Susan Lovelace; Reflections - Candice Brown; Secretary - DR; Treasurer - NL *addressed required. *Yearly Audit to be review and submitted to District per policy. PTA rules and regulations.
  2. Enrichment - LH discussed Spanish class for fall; Chinese class for fall; chess class for falll; and music therapy.
  3. Cleanscapes Update - NL update regarding $10k grant to create neighborhoods to benefit and to be decided between 5 neighborhoods; contributing factors; submit 1 page form requesting or advising ideas for neighborhood improvement; PW to submit idea regarding improvement to garbage area at school to conceal and improve scene; visibility and clean look requested by Cleanscape; and due to school district by 6/30 to be approved and final decision in Aug.
  4. Brown Bag - JS discussed new high school blue prints reviewed @ meeting w/ ideas to be efficient and flexible buildings for future generations; Historic bldg maybe moved to different location to use land by district; Brown Bag meetings every 2nd thurs of the month except for Nov. holiday; recycling @ all schools - PW reccycles; discussed “green” scheme position to aid schools as well; and 2010-2011 Sept 1 school starts and District has launced approved calenders.
  5. School District Budget reviewed and teacher contracts are secured; however, non-certicates positions are in negotiations & review bases on enrollment, etc.
  6. Experience Food Project - JS advised School District had decided to go against free program. JS to keep us posted of/any progress. *PTA PW summer meeting scheduled for Aug 10 @ 3rd Place Books @ 7pm *Back to School BBQ tenatively scheduled for Aug 26 Adjourn 9pm

  1. The Works - CF to prepare flyer for Works.
  2. KB orgaize pizza deal w/ Little Ceasars for talent show (40 pizzas); pricing $1.00 for pizza & $.50 for sodas.
  3. JS to contact volunteers to assist/help @ talent show.
  4. Nominating Committee: Need Fundraising position (RI /KH to Co-Chair).
  5. Brown Bag - JS discussion re “Experience Food Project”; 5/25 meeting chef w/ Brookside; Fingerprints for Enrichment teachers; Enrollment projections are complete; and tech plans for labtops for Shoreline Schools.
  6. Budget - JS wants to hold additional meeting to finalize figures. **New Leadership - next 5/24 @6pm Shoreline Center - dessert. PW Neighbor Coordinator trying to rally - Nora Smith. Shoreline Arts Festival - looking for jr artists. Volunteer Tea 6/2 after school @3-4pm. Attending: LH, CF, JB, DR, JS, & LP

  1. VP Reports - LH - Recommended council donations explanation to assist local committees; budget report from PTA counci; letter to Gov. Gregiore regarding funding for schools; “Embrace Shoreline” clean up on May 15; PTA Dist council leadership dessert May 24th; and update on enrichment classes: 9 students in music and 10 students in Chinese. **Need for formalize scholarship policy for enrichment and programs.
  2. Budget - Staff appreciation & Volunteer appreciation *Breakfast on Tues 5/4 and Lunch on Friday 5/7 (KB); One World - PTA to donate paper products & desserts @ 6pm; and funding for 5/15 clean up.
  3. The Works - Posters up on schools on 5/10 for fall registration; 6/1 for donations for back to school items (PW—school supplies); and registration date 8/20.
  4. Nominating Committee - LH for membership; NW to Co-Pres w/ JS; Comm VP & Family Activities - maybe KB. **Needed: Enrichment VP, Fundraising VP, Reflections, and Health.
  5. Clean Scapes Award for PW for neighborhood projects $10k reward for submissions.
  6. Talent Show - Karen Lund set date for 5/21; donations to be given to PW; letter and flyers to be sent out w/ info on 4/28. Pizza, drinks, desserts - KB organizing. **Family Activities - Harvest Festival & Ice cream Social and Back to School BBQ. Adjourn

PTA Meeting 3/16/10

Minutes from PTA Board Meeting 3/16/10 VP Reports: LH talked about the district’s new policy that prevents anyone (including Family Advocate) from getting info on those who qualify for Free and Reduced Lunch. In the short term, we agreed to use a lottery system if we have more families applying for scholarships than funds available. Families will still go through Ms. Terpstra and she’ll keep a list to draw names from. In the long term, we agreed that we need to make scholarship policy as a PTA board. Part of this conversation will be to revisit the issue of kids who apply for enrichment scholarships but aren’t turning in school work. CF says there’s a meeting in April to discuss the back to school/supplies drive for The Works. She’ll attend and report back. She also has a contact w/ Proctor and Gamble to try to get our portion of supplies donated. NL reviewed the budget. I didn’t write down specific numbers, but we have roughly $11, 200 in the bank, $4,500 commmitted through the rest of the year, and a hopeful balance of $6,700. This does not include any spring fundraising or further possible spending if we reach an agreed upon carryover amount for next year. Teachers have until the end of March to turn in receipts for their PTA grants—those who don’t will get gift cards. RI said she’d email cert staff accordingly. Nominating Committee: People agreeing to return to positions next year: 1) JS—co-pres, 2) KB—co Health and Safety 3) CF—co Family and Community Svc. 4) NL—Treasurer if needed. We need to hear from others to know what our vacancies are. LH will do something-TBD. Looks like we’ll for sure need Enrichment and Fundraising VPs and we’d like a Treasurer’s assistant. • We agreed to have a table at all upcoming events to try and recruit board and committee chairs.
• Send a letter home w/ available positions • Email the teachers to get a list of active parents to call (and add to a list that we started) • After we have a list of names we can divide them up and call people. Fundraising Survey Results/ Spring Fundraiser/Talent Show May 21: Survey results showed the most interest in plant sales and direct donations. Donations can be done at any event. We discussed pulling off a plant sale but have no one to run it, so we’ll stick w/ the Talent Show on May 21st as our fundraiser. We agreed to do a basket raffle as follows: • We’ll charge $5 per family at the door, and that gives you one raffle ticket. We’ll then sell more raffle tickets at $1/ea or 10/$5. We’ll also sell tickets each day after school the week of the event. (Adults will do this w/ kids so we can keep on track!) We’ll have the baskets in the hall and people can put tickets in specific containers for the basket they want. • Basket themes will be: 1) Gardening 2) Movie night (snacks, family movies, gift cards) 3) Summer Fun (beach towels, sunscreen, sand toys, etc.) 4) Coffee, Tea and Chocolate 5) Reading Basket (books, reading light, gift cards, magazines, snacks 6) Bath/Spa 7) Cooking • Each grade level will have a designated basket theme. • We’ll also sell pizza, pop and dessert at the event. We hope to have doors open at 6:00 for food sales, and the event at 6:30. We’ll also have an espresso cart w/ profits going to PTA. • Timeline: Flyer home on 4/26 regarding basket themes. Items due 5/7. Assemble baskets week of 5/10. Sell week of 5/17. Event on MAY 21 Parenting Lecture on 3/31: Julie Luthy will give her talk “Sharing Nature with Children” at 7pm in the Music Room at Highland Terrace on 3/31. Co-sponsored by PW. JS will get flyer out next week.

  1. Chinese Class - visitor/potential instructor - Hua Zhang. Class would take place once a week; 1 to 2 days a week b/f or after school; 10-12 students; parent volunteer required; appr $8 per class; scholarships possible; to start @ 4/15/10. Instructor has been teaching @ Meridian for 4 years and program as been successful.
  2. Budget - Scholoarships - $200 for Chinese class and $150 for music class.
  3. One World - PTA support to Mary Survais; discussed PTA’s participation; incorporating traditions of Heritage Night; JS to put info in newsletter and LP in flyers.
  4. Brown Bag - JS advised Sue Walker discussed law suit and legislative update; enrollment decreases; cirriculium and onlye support to start in fall; standard curriculims as respects to mastering math; and “compression” math discussed.
  5. Fundraising ideas - JS - raffel tickets and bake sale, talent show as spring fundraiser date tba; One Word - Apr 29th.
  6. Guest speaker scheduled for Apr tba to be shared w/ Highland for Nature.
  7. We need nominations @ next committee for volunteers—for General Meeting and June Board Meeting.
