PTA Meeting 9/14/2010

Attending: Jan Pembrooke, Lisa Hayes, Jill Smith, KaLyn Burmeister, Susan Lovelace, Charlene Farkas, Natalie Williams, Natalie Lecher, Deborah Rodriguez, Stephanie Corn, & Anita Wooster

  1. Additional items discussed: Reflections - Todd Brown’s daughter won national award for song “Health Girl”. Theme for 2010-2011 “Together We Can”—needs panel, organization, etc. and judged by Nov. 2. Possibility that Todd Brown may speak at event.

  2. PW Directory - JS to find and confirm someone to put directory together for PW.

  3. Excess School Supplies (supplies for students) has a budget of $500; JS to follow up and advise final details. JP to inquire w/ teachers to see what students needs are and how to proceed; will compile list. Mary Servais to potentially to be key person/organizer.

**Mostly needed items include pencils, rulers, scissors, etc.

  1. Storage room contains back stock of soda & water. JS viewed and inquired if items were usable. Was advised by members of council that most items are out dated and needs to be disposed of.

  2. Fundraisers - JS & NW inquiring w/ local companies for donations require usual 6-9 months for fundraisers for PTA school functions. Local companies to be inquired - costco, Safeway, Fred Meyer, Central Market, & Top Foods. LS has a template letter to send and communicate with our “community partners” to solicit donations. * Note from JP - advise companies in letter of what percentage of free & reduced lunch is as regards PW and how their companies can contribute.

  3. Financial Review - NL - Budget reviewed & passed on Aug 10, 2010 meeting. Review of yearly budget and explanation of expenses vs. income. Treasurer advised PW funds in account appr $9k and $1k in savings. PW related expenses expected to be around $3k. There will be a monthly review by Treasurer @ PTA meetings.

  4. PTA meetings to be revised from 2nd Tues of each month to the 4th Tues of each month. JS to inquire w/ Laura Pludre as respects date change and scheduling room. Also, further discussions on dates for District PTA Leadership Classes (Oct 12, 2010), which conflicted w/ original 2nd Tues PW PTA meetings. JS to further advise/confirm date changes for PTA meetings. **Note-next possible meeting to be Oct. 26th - if confirmed PTA meetings change to 4th Tues of each month.

  5. Newsletter - Marion Mohrlok - to organize & input PW Newsletter w/ a deadline set for Oct. 1, 2010; adjustments set for Oct 2&3; proofread on Oct 4&5th; and publication on Oct 7th. Oct 1 deadline for first Newsletter and second on Nov 19th. There is tentatively two newsletters scheduled for the 2010 school year. In addition, Marion has idea to put info board & pictures to be placed in bulletin board in school—more info to follow on idea.

  6. Scholarship policy & budget - JS & NW met w/ Mary Servais and discussed limits; reserves; and number and process of applications. Further agreements depends on class & specific details per class. Understanding that ‘partial scholarships’ may be guidelines. PW PTA requires parent volunteer per each class and must attend per having PTA sponsored venues. Furthermore, people can donate directly to the “scholarship” funds and earmark for specific classes.

  7. Harvest Festival - K. Burmeister & Leah are currently creating template for tasks and organization. Further info to follow.

  8. Leadership Meetings - board members were informed via email earlier in the week and were advised if interested in attending to contact appropriate person per email.

  9. General Membership to be confirmed for Oct. 26. PW PTA required to have 3 General Membership meetings per each school year. Tentative dates are Oct 26,2010, spring and end of school year. JS to advise on dates.

**Standing Rules & Budget must be voted on during the General Membership meetings w/ 10 people need to be present annually.

13.Updates from VPs - C. Farkas addressed lost & found and PW needs a volunteer to attend to job. Info/requests announcement to go out in Newsletter. Furthermore, CF to attend meeting on Oct 4 as respect the Works. Susan Lovelace - collecting enrollment for Spanish class. Additional info as respects to Spanish class: enrollment forms for class, contact info, and tuition should be paid directly to company teaching classes. Budget & Scholarship info should be collected and forward to NL regarding funding. Chess & Chinese class info to go out in Oct 15 Newsletter and tuitions for chess & Chinese should be paid to PW and PW to forward to organizer. Also, discussed a second volunteer in Chess class.

Notes**As respects all classes - Volunteers need to have a background check; students list to front office as respects an “after school” form w/ child’s name, contact phone #s, activity, classroom #, and/or afterschool care and parent p/u.
